Event Guidelines for the Organizers

To ensure the success and integrity of Rekhta X events, organizers must follow the guidelines below:

1.Event Concept and Objective

Promote Urdu: The core focus of the event should be to promote and preserve the Urdu language, literature, and its cultural heritage.

Community Building: Aim to foster a sense of unity and community through Urdu-based programs, discussions, and performances.

2.Event Format and Approval

Approval by Rekhta Foundation: The format and content of the event must be submitted to Rekhta Foundation for review and approval before the event is finalized. This ensures that all content aligns with Rekhta's mission of promoting Urdu culture and language.

Content Guidelines: Ensure that the event content, including performances, speeches, and workshops, is in line with the ethos of preserving Urdu. All content must maintain a high standard of quality, which will be monitored by Rekhta.

3.Event Recording and Content Ownership

Event Recording: The entire event must be professionally recorded from start to finish using high-quality instruments and equipment, including microphones, speakers, lighting, and cameras. This ensures that the captured content meets the production standards of Rekhta.

Content Ownership: All content produced during the event, including audio, video, and images, will become the sole property of Rekhta Foundation. Organizers are required to share the complete recorded content with Rekhta for review and processing.

Post-Processing and Sharing: Once the content is processed and finalized by Rekhta, the organizer will be credited appropriately when it is published on Rekhta's official social media platforms and other channels. Organizers may share the content only after it is approved and published by Rekhta.

4.Branding and Marketing

Brand Kit: Rekhta Foundation will provide an official Brand Kit, which includes logos, banners, and guidelines for marketing and promotion. This ensures consistent branding across all Rekhta X events.

Event Day Branding: All event-day prints and visuals (posters, backdrops, banners, etc.) must follow Rekhta's branding guidelines, ensuring a uniform look. Organizers are responsible for arranging branded materials based on Rekhta's instructions.

Promotional Approval: All promotional materials, including digital and physical, must be approved by Rekhta before being used or shared publicly.

5.Responsibilities of the Organizer

Program Design: Events may include a mix of performances, discussions, storytelling sessions, poetry recitals, and workshops related to Urdu.

Time Management: The event should have a clear schedule and run on time. The recommended duration is between 2 to 6 hours, depending on the content and format.

Diversity of Speakers or Performers: Include a range of perspectives, inviting poets, scholars, writers, and artists who contribute to the promotion of Urdu. The event should be inclusive and representative of diverse voices.

6.Legal and Safety Compliance

Venue and Permits: Ensure that the venue meets local laws and safety standards. Obtain all necessary permits and licenses required for public events in your location.

Insurance: Organizers are responsible for acquiring insurance coverage, where required, for public liability and participant safety.

Participant Safety:Follow all safety protocols, including crowd management and public health regulations, as per local or global guidelines.

7.Financial Responsibility

Ticketing Options: The event can be ticketed or non-ticketed at the discretion of the organizer. However, the ticketing structure must be communicated to Rekhta in advance.

Sponsorships: You may seek sponsorships to cover event costs; however, all sponsorship deals must be disclosed to and approved by Rekhta before they are finalized. The sponsor's involvement should align with the objectives of Rekhta X.

Budget Management: Manage your event budget responsibly. Rekhta is not liable for any financial obligations or debts incurred during the organization of your event.

8.Attendee Management

Registration Process: Rekhta Foundation will handle the audience registration process. A unique QR code will be generated for each attendee, which will be used for verification and attendance marking by the organizer on the day of the event.

Audience Engagement: Focus on creating an interactive and engaging experience for attendees, ensuring that the spirit of Urdu culture is present throughout.

9.Inclusivity and Accessibility

Diversity: Rekhta X events should be open to all, encouraging participation from diverse communities regardless of age, gender, or background.

Accessibility: Make reasonable accommodations to ensure that your event is accessible to individuals with disabilities.

10.Post-Event Requirements

Report Submission: After the event, submit a detailed report to Rekhta, including attendee feedback, key takeaways, and any challenges faced.

Media Sharing: Send the recorded event and any photos, videos, or media coverage to Rekhta within a stipulated time. Rekhta will review, process, and publish the content on its platforms with appropriate credits to the organizer.

11.Event Cancellation or Rescheduling

Notifying Rekhta: If the event must be canceled or rescheduled, notify Rekhta at least two weeks in advance with clear reasons. Failure to communicate in a timely manner could affect future license approvals.

12.License Validity and Event Scheduling

License Duration: The Rekhta X license is valid for twelve (12) months from the date of approval. There are no restrictions on the number of events an organizer may conduct within this period.

Event Scheduling: To avoid scheduling conflicts with other Rekhta X events in the same location, the organizer must submit the event proposal and seek approval at least 45 days before the event date.

Location Conflicts: Organizers should ensure that their event does not clash with another Rekhta X event in the same city or region. Rekhta will coordinate with organizers to prevent overlap.
